Pavlus Travel Guest Relations

Pavlus Travel has maintained one of the most highly regarded Guest Relations departments in the travel industry since 1994. Our 12-person team serves as the dedicated post-booking support center for every client who books a cruise, river cruise, or guided vacation through Pavlus Travel.

Unlike typical travel agencies that hand you off after booking, Pavlus Guest Relations acts as your single point of contact from confirmation through departure and beyond — coordinating directly with cruise lines, tour companies, and airlines on your behalf. Our team handles final travel documents, airport and pier transfers, pre- and post-trip hotels, embarkation logistics, dining reservations, shore excursions, and any itinerary changes that may arise.

Payments & Final Payment

Due dates, balances, accepted cards, and what to do when a payment does not go through.

Your final payment due date is listed on your Pavlus Travel invoice. Look for Balance Due By in the payment section.

Please use the date shown on your Pavlus invoice rather than the cruise line or tour company’s publicly listed payment schedule — booking terms can vary from one reservation to the next.

Before you call: check your most recent Pavlus invoice for your exact due date.

Your current balance is shown on your most recent Pavlus Travel invoice.

If you have made a payment recently, please allow time for it to be processed and reflected on an updated invoice.

Payment requirements vary depending on the cruise line or tour company associated with your reservation. Please have the following available:

  • Pavlus booking or confirmation number
  • Lead traveler’s name
  • Amount you wish to pay
  • Credit card information, when applicable

Never send complete credit card information through standard email.

Tip: if you have already provided payment authorization or instructions, please avoid submitting the same request again while it is being processed.

For your security, full credit card numbers are not displayed on invoices or sent through standard email.

If your documentation shows the last four digits of the card associated with your reservation, use those digits to identify the card.

Pavlus will never email you a complete stored credit card number.

If a different card needs to be used for an upcoming payment, new payment authorization may be required. Please do not send your full credit card number by email.

Because payment procedures vary by travel partner, call us at 1-866-843-4836 to provide updated credit card or checking account information.

Do not assume your balance will be charged automatically.

Some reservations are set up for automatic final payment and some are not — it depends on the travel partner and on the authorization already on file. If you are not certain which applies to your booking, contact Guest Relations before your due date rather than after it, since a missed final payment can put a reservation at risk of cancellation.

In many cases yes, provided the required balance is paid by the final payment deadline.

Your invoice shows the total amount that must be paid by your final payment date.

This may be possible depending on the travel partner and the reservation.

If multiple cards will be used, tell us the amount to be charged to each card when you submit your payment request.

Accepted payment methods are determined by the cruise line, tour company, or travel partner processing the reservation.

Most bookings accept major credit cards. Certain partners may have additional options or restrictions.

Have the following ready:

  • Traveler name
  • Vendor confirmation number
  • Payment amount
  • Payment method
  • Secure payment information, when required

Providing this at the start of your request helps prevent delays.

Yes. Once a payment has been processed and recorded, your reservation documentation will reflect the updated payment and remaining balance.

Please retain the updated confirmation or invoice for your records.

First, compare your newest invoice with the previous version. Differences can result from:

  • Recent payments
  • Added or removed services
  • Taxes or fees
  • Airfare changes
  • Hotel or transfer additions
  • Insurance
  • Currency or vendor adjustments

If you still believe there is an error, call us or submit a request and identify the specific amount or line item you are questioning. That lets our team research the discrepancy without having to come back to you for clarification first.

A declined payment does not necessarily mean there is a problem with your reservation. Common reasons include:

  • Bank fraud protection
  • Daily transaction limits
  • Large-purchase restrictions
  • Incorrect billing information
  • Expired or replaced cards

Because travel purchases can be much larger than everyday transactions, your bank may require authorization first.

What to do: contact your card issuer first. Once they confirm the transaction can go through, the payment can be attempted again.

My Booking

Confirming your details, correcting an error, and requesting a change.

Start with your most recent Pavlus Travel invoice or booking confirmation. Verify:

  • Traveler names
  • Travel dates
  • Ship, tour, or itinerary
  • Stateroom or room category
  • Confirmation number
  • Deposit and balance
  • Final payment date
  • Added hotels, transfers, or other services

You can also review your account details at My Pavlus Account.

Review your latest invoice first to pin down exactly what needs to be corrected. When you submit a request, tell us:

  1. Your confirmation number
  2. What currently appears on the reservation
  3. What you believe it should show

For example: “My invoice shows Robert Smith, but my passport reads Robert James Smith.”

A specific request like that can be handled far more quickly than a general request to “check my booking.”

Changes are subject to the policies, availability, and pricing of the travel partner. When requesting a change, include:

  • Booking number
  • The exact change requested
  • Which traveler is affected

Travel Documents & Requirements

Invoices, final documents, passports, visas, and entry requirements.

Check your email first. Search for Pavlus, your travel partner’s name, your booking number, or your destination — and check your spam, junk, and deleted folders.

If you still cannot find it, submit a request for a duplicate and include your booking number and traveler name.

Final travel documents are released by the travel provider closer to departure, not immediately after final payment. Timing varies by cruise line and tour company.

Most cruise lines release final documents electronically about 20–30 days before departure. Once they reach Pavlus, Guest Relations reviews them and forwards them to you.

If you are still more than 30 days from departure, your final documents may simply not be available yet.

Passport and traveler information requirements vary by travel provider. Many cruise lines and tour companies let guests enter passport details directly through their own online guest portal.

When entering passport information:

  • Enter your name exactly as it appears on your passport
  • Double-check the passport number
  • Verify the issue and expiration dates
  • Verify nationality and date of birth

If your passport is renewed after you first entered the information, update the travel provider’s record as soon as possible.

Entry requirements depend on your:

  • Citizenship
  • Passport
  • Destination
  • Countries visited during the itinerary
  • Transit points
  • Length and purpose of travel

These requirements change and are set by government authorities, not by Pavlus Travel. Travelers are responsible for having the proper passport, visa, ETA, and entry documentation for their itinerary.

Do not rely on the requirements that applied to a previous trip.

Transfers & Transportation

Airport and pier transfers — what is included, how to arrange one, and where to find your instructions.

Not always. Transfers may be:

  • Included with your package
  • Included only when using the travel provider’s airfare
  • Included only on specific arrival or departure dates
  • Available for purchase
  • Arranged independently

Review the transfer section of your invoice and travel documents first. If a transfer does not appear on your confirmation, do not assume one has been arranged.

Before requesting a transfer, gather:

  • Arrival and departure airport
  • Airline and flight number
  • Arrival and departure date
  • Arrival and departure time
  • Hotel name, if applicable
  • Ship and cruise port
  • Number of travelers

Transfer options cannot be determined accurately without complete flight and itinerary information.

Transfer pricing varies based on destination, number of travelers, distance, vehicle type, arrival time, travel partner, and whether the service is private or shared.

For an accurate quote, send your complete transportation details rather than asking for a general transfer price.

Your final transfer documentation gives the instructions specific to your reservation. Depending on the service, you may:

  • Meet a representative in baggage claim
  • Look for a sign with your name
  • Report to a designated cruise-line meeting point
  • Call or message the driver after you arrive
  • Meet in a hotel lobby or another designated location

Always follow the instructions in your final documents rather than general information found online.

Check, in this order:

  1. Your Pavlus invoice
  2. Your transfer confirmation or voucher
  3. Your final travel documents
  4. The travel provider’s guest portal, when applicable

Your final documents are the best source for meeting instructions and local contact information.

Transportation that is not part of your booked package is considered independent travel. Depending on the destination, options may include hotel transportation, taxi, rideshare, train, public transportation, or a private transfer.

For independently arranged transportation, confirm current local options and travel times shortly before departure, since availability and pricing change.

Hotels

Your assigned hotel, adding nights, and what your room rate includes.

Your confirmed hotel appears on your Pavlus invoice, your travel provider confirmation, or your final travel documents.

If your itinerary originally listed a hotel as TBA, check your newest documentation for an updated assignment. Hotels are generally not assigned by the cruise line or tour company until closer to departure.

If the hotel appears as confirmed on your current reservation documentation, it has been added to your itinerary.

Some tour companies reserve the right to substitute a comparable property, so keep reviewing travel-provider updates before departure.

Hotel rates change based on travel dates, room type, occupancy, refundability, availability, and taxes and fees.

For that reason, hotel pricing has to be checked for your specific dates. It cannot be reliably estimated from another traveler’s reservation or from a previous quote.

Yes. Pavlus can assist with pre- and post-travel hotel arrangements. To request options, provide:

  • City
  • Check-in and check-out dates
  • Number of travelers and number of rooms
  • Preferred location or hotel, if any
  • Approximate budget or hotel category

The more detail you share, the better we can tailor recommendations to your plans and preferences. You can also browse the Pavlus Hotel Collection for live rates.

Often yes, subject to availability.

Additional nights offered through the cruise line or tour company may have different pricing and inclusions than booking independently.

Your confirmation shows the room category when the hotel or travel partner provides it.

Amenities such as breakfast, Wi-Fi, transfers, early check-in, and late checkout vary. Do not assume an amenity is included unless it appears on your confirmation or is specifically listed by the provider.

Flights & Air

Finding your air itinerary, confirming ticketing, and requesting an air quote.

Your air itinerary or airline confirmation shows the airline, flight numbers, departure and arrival times, airports, connection information, and the airline confirmation number.

Once ticketed, you can generally use the airline’s confirmation number to view the reservation directly with the airline.

A flight reservation and a ticketed flight are not always the same thing.

Look for an e-ticket number on your air documentation or airline record — that is the clearest indication that ticketing is complete.

Air schedules can still change after ticketing, so keep checking your flights before departure.

Yes. Air options depend on your trip, your destination, and whether airfare is being arranged independently or through the cruise line or tour company.

For an air quote, reach out to your Personal Travel Planner with:

  • Departure airport
  • Preferred travel dates
  • Number of travelers
  • Cabin preference
  • Frequent-flyer preferences, if important
  • Any special scheduling needs

Shore Excursions & Tours

Booking windows for excursions and reading what your land tour includes.

Shore excursion reservations are generally made through the cruise line or travel provider’s online guest portal.

Booking windows vary by provider and may depend on your sailing date, stateroom category, loyalty status, or final payment status. If excursions are not yet available, check the opening date shown by your travel provider.

Popular excursions sell out, so we recommend reviewing options as soon as your booking window opens.

Your detailed itinerary is the best source for what is included each day. Look for included sightseeing, optional excursions, meals, hotels, transportation, free time, and arrival and departure services.

Pay close attention to wording such as included, optional, at leisure, and at additional cost.

If you are planning independent activities during free time, check the tour schedule first to avoid conflicts.

Cabins & Upgrades

Category availability, how upgrades and upgrade bids differ, and bed configurations.

Availability changes continuously. A category that was available when you booked — or even earlier the same day — may no longer be available.

Current availability and pricing have to be checked at the moment you are considering a change.

There are several kinds of upgrade, and they are not interchangeable:

  • Complimentary promotional upgrades
  • Paid category changes
  • Cruise-line upgrade offers
  • Upgrade bidding programs

A paid upgrade changes your confirmed reservation and is subject to current pricing and availability. An upgrade bid is an offer submitted directly to the cruise line and is not guaranteed to be accepted — bids may be accepted as late as three days before embarkation, so plan around your existing stateroom until an upgrade is officially confirmed.

Usually a change can be requested if another eligible cabin is available. However, changing cabins may affect your fare, promotions, amenities, onboard credit, deposit terms, or accessibility features.

If you want to change cabins within the same category, our Guest Relations team is happy to review the available options with you.

If you are interested in changing your stateroom category or room type, reach out to your Pavlus Travel Planner, who can review current availability, pricing, and any applicable promotions.

Many cruise staterooms can be configured as either one larger bed or two separate beds, but this varies by ship and by cabin.

Bed preferences can usually be requested in advance, but they remain subject to the configuration available onboard.

Dining & Onboard Credit

How dining reservations work and how to check and use your onboard credit.

Dining policies vary significantly by cruise line. Depending on your sailing, dining may be open seating, assigned seating, reservation-based, bookable before sailing, or reserved onboard.

Specialty dining may have its own booking windows based on stateroom category or loyalty level.

Use your cruise line’s guest portal for the dining rules and reservation options specific to your sailing.

Check your Pavlus invoice for onboard credits associated with your booking. Credits can come from several sources:

  • Pavlus Travel
  • Promotions
  • Loyalty programs
  • Shareholder benefits
  • Specific amenities

Some credits are per person and some are per stateroom.

This depends on the type of credit and on the cruise line. Eligible purchases may include shore excursions, specialty dining, spa services, beverages, shopping, gratuities, and other onboard purchases.

Some credits are restricted to a specific purpose and some are non-refundable. Check the terms attached to your particular credit before you sail.

Pavlus Perks, Rebates & Referrals

When your Pavlus Perk arrives and how the referral program works.

Timing depends on the benefit associated with your reservation.

Your Pavlus documentation is the best source for identifying your exact Pavlus Perk and when it is issued.

Referral benefits are subject to the terms of the Pavlus referral program, which you can review at pavlus.com/referrals.

Referral benefits are not issued until qualifying travel has been completed.

Changes, Cancellations & Refunds

How to cancel properly, how penalties are determined, and refund timing.

Cancellation requests should be submitted directly to your Pavlus Personal Travel Planner. Include:

  • Booking number
  • The specific traveler(s) being canceled, if applicable
  • A clear request to cancel

Do not simply stop making payments. Failing to pay and formally canceling a reservation are not necessarily treated the same way, and cancellation penalties can be significant. The applicable terms are listed on your cruise or tour invoice.

Cancellation penalties are determined by the terms of your specific reservation and may vary based on the travel partner, fare type, date booked, departure date, current cancellation date, promotional terms, and any non-refundable components.

Do not rely on a general cancellation chart found online unless it applies specifically to your booking. Review the terms included with your confirmation before canceling.

Refund timing depends on the company processing the refund and on your original payment method.

A refund approval and the date funds appear on your credit card are not the same date. Once a provider issues a refund, your bank or card issuer may need additional processing time before the credit appears — a general guideline is 7–10 business days.

No. Travel Planners handle new bookings, pricing, and availability. Guest Relations is a separate, dedicated department that supports clients who already have a booking.

Once you are booked, your primary contact for logistics, documents, and departure details is Guest Relations at 1-866-843-4836.

If you received confirmation that your message was submitted, there is no need to call and submit the same request again.

Duplicate emails and phone calls create additional correspondence on the same request and can slow it down.

If new information becomes available, reply to your existing email thread rather than starting a new request.

Guest Relations requests are reviewed as promptly as possible, with priority given to guests who are currently traveling and to matters with immediate deadlines.
