Insight Vacations is also known as Insight Tours. Their name was changed some years ago. Insight Vacations features their Insight Vacations Italy at great prices, trips to the Bay of Fundy, to The Baltic, and more. Insights escorted European Tours are a favorite of Pavlus Travel's Travel Agents. All of Insights Tours are discounted at Pavlus, one of their largest sellers in the United States.

What does the tour cost include?

The prices listed in our brochure and website cover all hotel accommodations, all applicable sightseeing and admissions as per the itinerary, motor coach, cruise or rail transportation, services of a professional Insight Travel Director, all meals as shown in the itinerary and luggage handling. All tips have been included for services on trip by dining-room staff, chambermaids and porters at hotels, airports, docks and train stations.

What is the difference between a definite departure and a departure that is not marked definite?

A definite departure has reached the minimum number of guests for the tour to operate. If a tour and departure date you are interested in is not yet definite, do not let this discourage you from booking. The more paid guests we receive, the odds of the tour operating increase.

In the slim case that we happen to withdraw a tour you are booked on due to a lack of numbers, you are entitled to a full refund on the funds already paid towards Insight Vacations or if flexible with your time, we can move you onto another departure.

When do tours become designated definite?

As a rule of thumb, a tour becomes a DEFINITE departure once we have sold approximately half of the maximum capacity of a specific departure. On average because a sold-out Insight Vacations accommodates 40 guests, a tour is designated definite at the 20 guest mark.

What does it mean if a departure says Call Us. And what does On Request mean?

A departure listed as Call Us on the website is almost full. In this scenario, one of our Travel Experts will need to confirm if the tour is still available.

If you select a departure and then receive a message saying that the departure is On Request, this means availability is limited. You will still be able to complete your booking request but your place won’t be confirmed immediately. General tour requests usually take 24 – 72 hours to get confirmation. Your place on an On Request tour will likely be confirmed.

If you have selected additional hotel nights and the hotel is listed as On Request, the time to confirm this can vary. We aim to get requests answered in 24 – 72 hours.

Can I change my date and/or trip at any time?

Insight Vacations guests can book with confidence. You’re free to change your travel plans up until your final payment is due. If you are within the cancellation period, additional charges will apply.

All changes are subject to differences in rates and availability. This policy only applies to your Insight Vacations tour, airlines will have different policies and costs.

What happens if I can’t go on my tour?

For bookings made through a Travel Agent, please contact the agent if you’re unable to travel.

Can I add extra hotel nights before or after my tour?

Yes, you can book extra hotel nights through Insight Vacations. Many guests like to give themselves a little extra time in a destination before or after their trip.

If you haven’t booked your tour yet
Additional hotel nights can be added to your booking during the online booking process, simply select your departure date and follow the booking steps.

If you are booking through a Travel Agent, they can add your extra hotel nights during the booking process too.

If you have already booked your trip
Don’t worry, you can still add extra hotel nights even if you’ve already booked.

If you’ve booked through a Travel Agent, please reach out to them and they will add the extra nights to your reservation.

If you’ve booked directly through Insight Vacations, you can add additional hotel nights through the My Insight portal. Travel Agent Partners, please log in to TAP where you can add these. Alternatively, please Contact Us and we will be happy to add these extra nights for you.

If I book the same hotel before or after my tour, will I be in the same room as my tour?

The hotel will do its best to keep you in the same room, however, this can’t be guaranteed. Should you need to change rooms, the hotel will typically let you know at the time of check-in.

Is breakfast included when I book extra nights before or after my tour?

This will vary depending on the hotel.

When you receive your travel documents on the My Insight portal, your hotel booking will show whether breakfast is included.

How do I register for My Insight?

Registration for your tour can be completed by visiting My Insight. It only takes a few minutes and you will be asked to enter your contact details such as an email address, a mobile phone number, and the contact details of a nominated person we can call in the event of an emergency. We also invite you to share details of any specific dietary requirements and travel preferences, find all your itinerary details, be able to download your e-documents, and meet your Travel Director on-line.

Insurance/Travel Protection

We highly recommend guests purchase travel insurance prior to your trip. You can either include Insight vacation’s Travel Protection Plan in your booking or purchase insurance independently.

If you purchase your insurance independently, please ensure you add the details on the My Insight portal. We suggest that your insurance covers the following:

  • Cancellation or curtailment of your vacation due to medical or other reasons
  • Loss or damage to your property and baggage
  • Loss of cash, credit cards, etc
  • Medical costs and personal accidents

Certain countries require visitors to have valid medical insurance on entry and in Europe, you may find that doctor’s surgeries, dentists, and hospitals often require payment in cash prior to providing services. Whilst rare, medical evacuation can be exceptionally expensive.

Do remember to bring a copy of your policy, contact phone numbers, and details of how to claim.

Should you choose to travel on Insight Vacations without the required travel insurance, you will have full responsibility for all expenses (trip interruption, trip delay, medical expenses, quarantine expenses, and emergency evacuation/repatriation) that may arise while traveling with us.

What do I need to know about border crossings, visas, entry requirements and passports

Please make sure that your passport and the passport of anyone traveling with you are valid for at least 6 months.

You will likely need a visa. We recommend that you check your government’s travel advice website for up-to-date information to see what is required but this information can also be found at the country’s embassy or consulate. Check your itinerary carefully and remember that requirements vary based on passport place of issue and the process can take time. Please note that countries will likely require individual visas. It is also important to be aware that with some itineraries you may travel through a country without making an overnight stop, but will still require a visa to enter/exit.

Please ensure that you carry proper identification with you at all times as entry documents and passports will be required at border crossings. Usually crossing borders is a very straightforward process that is managed by your travel director, however, be advised that you may be required to open luggage and answer simple questions regarding the length of your stay, purpose of travel, etc.

United Kingdom and Northern Ireland trips incl transiting travelers

From January 8, 2025 UK law requires travelers both entering and transiting through the UK and Northern Ireland to obtain an Electronic Travel Authorization (ETA) which must be obtained in advance of travel. It costs £10 and is valid for 2 years.

This is a tiered approach, with application for passports including but not limited to US, Canada, Australia, New Zealand and Singapore, open from November 27, 2024. For a full list of passports requiring the ETA for entry from January 8, 2025 or to start your application, visit the UK Government website. 

For many other passport holders, you can still travel without an ETA until April 2, 2025 date but will require an ETA after this date. Applications for travel after this date will open on March 5, 2025. For full details please visit the UK Government website.

USA trips incl transiting travelers

When will I receive my documents?

All TTC brands participating in this initiative moved entirely to e-documents. You can view access e-documents at My Insight. Documents will no longer be mailed.

Departure documents are usually released 21 days prior to departure, sometimes sooner.

Why is it important that I give my name as it appears on my passport when booking air?

Due to increased travel security around the world, it is now more important than ever that your airline ticket match your first and last name exactly as it reads on your passport. Additionally, any changes to your air booking, which include spelling, could be subject to a change fee, penalties, or cancellation.

Will I need any vaccinations?

This varies from destination to destination and will depend on your personal health circumstances. Please speak to your Travel Agent or doctor to find out if vaccinations are required.

What if I have mobility issues?

Please notify Insight Vacations of any disability requiring special assistance prior to traveling. We will try our best to accommodate you throughout the tour and will inform the hotels.

What if I have medical needs?

You will need to pack a plentiful supply of any medication that you may need while on vacation. All prescriptions should be filled up-to-date and in their original packaging. Always pack prescriptions in your carry-on bag with copies of your prescription paperwork as your checked luggage may not always be easily accessible.

We recommend that you research the rules around taking your medication to your destination country and what proof of treatment you’re expected to bring with you. For example, you can avoid any issues at airport customs in Spain by having your prescription drugs and doctor’s letter readily available. However, not all European countries have the same regulations.

Every day over-the-counter medicines such as paracetamol are not carried on the coach. Your Travel Director will be able to advise you where to purchase items if needed.

What if I have food allergies?

Please advise us of any dietary requirements by completing registration on My Insight. We will  make arrangements with our suppliers where possible.

You will also need to talk to your Travel Director at the beginning of your tour and they will do their utmost to arrange an alternative menu at the hotels and restaurants.

Where can I find solo pricing?

The price displayed on our tour pages is for a twin room. To check the solo price for a tour, select Continue on the departure of your choice and view the price and availability of solo rooms in the next step.

Once you’ve selected your trip and departure date, select ‘Continue’ to select your room type and check pricing/availability.

If you see the message that the room is ‘on request’, this means the departure has limited single-room availability. In this instance, we will need to request a single allocation.

Can I book a triple room?

Triple room bookings are available, suitable for 2 adults and 1 child. When booking your trip, we define a child as somebody aged 17 or under. A triple room is not recommended for 3 adults, as the third bed is often a rollaway, which may not be comfortable for an adult. A triple bed is the same size as a twin-bedded room.

If you are traveling as a group of three, we strongly advise booking the single occupancy or twin share room option for the third guest.

How much luggage can I bring?

Traveling with Insight Vacations entitles each guest to travel with one suitcase not exceeding 23kg (50lbs) in weight, with dimensions not exceeding 77.5cm (30.5in) x 56cm (22in) x 32cm (12.5in). Guests may also bring one item of hand luggage that is small and light enough to be carried onto the coach and fit underneath the seat, or in the small overhead compartment above. (Luggage with adjustable handles and wheels will not fit).

Please test the weight of your baggage prior to travel. You should be able to lift and comfortably transport it for short distances.

Baggage allowances vary from airline to airline and you should check with your chosen carrier for details prior to travel.

Can I bring my small rolling suitcase that I can bring on the airplane with me on the coach?

Guests may bring one item of hand luggage that is light enough to be carried onto the coach and small enough to fit underneath the seat, or in the small overhead compartment above. Unfortunately, luggage with adjustable handles and wheels will not fit.

What should I pack?

The weather in Europe is very variable so we suggest that you pack layers of clothing that can be added or removed as necessary.

Pack a comfortable pair of flat shoes/trainers for walking. You will be visiting cities and sites with cobbled streets and uneven terrain.

Pack a light waterproof jacket. As the weather is changeable, you don’t want to be caught out by the rain and a lightweight waterproof is an excellent solution which won’t take up too much space in your suitcase.

Pack a sun hat during the summer months. Many European cities are hot during the summer and shade may not be readily available.

Pack a light scarf and at least 1 skirt/trousers which stops below the knee. Some excursions will take you to Cathedrals or other religious locations where more modest attire, covering the shoulders to below the knees, is appropriate for both men and women. A scarf applied across the shoulders is perfectly acceptable.

Pack a smart outfit. You may wish to bring a dressier outfit for visits to the cabaret, theatre, or an elegant restaurant. Smart casual clothes are usually acceptable attire for other evening activities.

Other useful items that you may wish to pack can include:

  • A travel iron if you prefer clothes to be pressed
  • Wash cloth and carry bag
  • A copy of your hotel contact list so should your luggage be mislaid by your airline you can be reunited with it easily
  • We would also suggest that a change of clothes and essential travel toiletries should be packed in your hand luggage for the same reason
  • A photograph of your luggage contents in case of loss
  • Scented soap, fabric softener sheets, or scented sachets can be packed to keep your clothes smelling fresh and clean throughout your tour

Is porterage included?

Porterage is included for each guest’s suitcase throughout the tour (one item per person) which means that you only have to bring your hand luggage on and off the coach each day. The porters will deliver all suitcases to the coach where the Travel Director will check them and the driver load them into the baggage compartment. Your Travel Director will provide a blue luggage tag which we advise you to use as this assists with identification and security.

On arrival at each hotel, suitcases will be delivered to your rooms by the hotel porters. We suggest that you may wish to pack toiletries and any personal items you may want immediately on arrival in your hand baggage where they are instantly available.

How much travel money should I bring?

When planning how much money to bring we suggest that you consider such things as spending money for meals that are not included e.g. lunches and beverages, alcoholic drinks, etc. Any Optional Experiences/sightseeing tours that you may wish to purchase, as well as shopping, gratuities, and any incidentals such as laundry or dry cleaning and so on.

If you plan to purchase local currency before you travel we suggest that you request notes of smaller denominations as many local stores and restaurants may not be willing to accept the higher ones. For example, if purchasing Euros, request denominations of €50, €20, and €10.

If you do not want to travel with lots of money on you, there are plenty of ATMs throughout Europe. You will be charged in local currency by the vendor and your credit card company will convert the charges based on the exchange rate that they implement. A fee is charged for this. Visa, American Express, or MasterCard are widely accepted in most shops and restaurants.

To make your trip as smooth as possible, please inform your bank prior to your departure. This ensures that your provider will not deny payment because they think the transaction could be fraudulent. We also recommend that you have an overseas contact number for your bank and/or credit card company with you if you need their assistance when traveling.

Tipping While Traveling 

Tipping is an important thing to think about when preparing your travel money. Tipping etiquette varies by country, culture, and situation. It is generally a gesture that shows appreciation for the quality of service that you received.

When traveling with Insight Vacations we have pre-paid certain tips and gratuities for you. Baggage handling at hotels, service charges, and tips for hotel wait staff (for included meals) will be taken care of by your Travel Director. There are however a few instances where individual tipping is welcome.

Rest of the World trips

Each guest must ensure that their passport is valid for at least six months beyond the conclusion of their trip and that they have acquired all necessary visas and permits. You are responsible for obtaining all necessary visas before the departure of your guided holiday. Depending on your nationality, you may need visas to enter certain countries included on your trip. Please note that obtaining visas can take up to six weeks before your departure. It is strongly advised that you consult your Travel Agent (if applicable) and the local Consulate or Embassy of the country you are visiting well in advance to determine which visas they require and how to obtain them.

Are flights included in the tour price?

No, flights are not included in the price of your tour. However, you can add flights to your tour through Insight Vacations, subject to availability. To add flights, first find the tour you wish to travel on, select your departure date and press ‘Continue’.

Can I book flights through Insight Vacations?

Yes. Flights are not included in the trip price but you can add flights during the booking process. Select ‘Continue’ on your preferred departure on the tour page and add flights during the online booking process. Or, if using a travel agent, ask them to book flights through Insight Vacations as part of your booking.

Airport check-in

Generally, check-in times require guests to arrive at the airport a minimum of two hours before a domestic flight and three hours for international flights. This allows you plenty of time to check in and pass through security to the boarding area. Online check-in means you can save time and fuss at the airport by checking in for your flight via the website prior to your arrival at the airport.

Please allow enough time to get to your flight – be aware that during busy travel periods or at airports with heightened security you may experience longer queues. Boarding usually starts 30-45 minutes before departure and the gate generally closes 20 minutes prior to departure. Check with your airline to see what time check-in counters open.

Airline connections

Traveling internationally may require you to change planes in major airports and your airline will provide you with details of the minimum connection time required to transfer from one gate to another at each specific airport. When checking in for your flight ensure you check in to your final destination so you do not need to claim luggage and re-check it during flight connections.

Will I need to book transfers?

Most Insight Vacations guests benefit from complimentary arrival and departure transfers by shuttle coach on the arrival and departure day of their guided holiday. Times are specified on the individual itinerary pages. If your flight times do not coincide with the shuttle coach transfer timings you may choose to book and purchase a transfer.

In addition, guests who arrive before or leave after the scheduled holiday may also book a transfer through Insight Vacations providing they also purchase the additional pre- and/or post- holiday hotel night(s).

Insight Vacations provides complimentary airport transfers in the Latin America region at any time on the first and last day of the vacation or on other days in conjunction with pre-and / or post-trip accommodation booked through Insight Vacations. Flight times must be provided to Insight Vacations at least fifty days before flight departure in the case of Latin America trips.

You will find specific joining instructions as to where you will locate an Airport Host or Travel Director at the scheduled transfer times in your travel documents.

Note Exception: When you book your flights directly through Insight Vacations, you can take advantage of a complimentary transfer when flying into London Heathrow. If booking your Heathrow flights independently, or flying into London Gatwick, transfers to your Insight hotel are chargeable.

Airport Transfers for North America

Guests make their own arrangements for arrival transfers, and for departure transfers unless the last day is a travel day ending with an airport drop (see itinerary for airport arrival times). Insight Vacations offers the option to purchase private transfers for selected cities. Guests may check at the time of booking if those are offered for the selected itinerary. Otherwise, guests will be provided local transfer options after booking so they can make their own arrangements.

Guests arriving before or leaving after the scheduled itinerary day may choose to purchase a private transfer through Insight Vacations provided that they also purchase the additional pre- and post-trip hotel night(s) from Insight Vacations. When booking extra night(s) accommodations, guests will have the opportunity to book the relevant transfer service(s).

If my flights were booked through Insight Vacations and the flight times change, do I need to do anything?

No. If your flights were booked through Insight Vacations then we will notify you or your Travel Agent of any schedule changes. Sometimes the airline will notify you at the same time they notify us. Rest assured, we will contact you if required.

If I booked my own flights and the flight times change, what will happen to my airport transfers?

Complimentary arrival and departure transfers are available on most Insight Vacations tours, but not all of them.

If you’ve booked your flights independently and provided us with flight details for an airport transfer, please Contact Us to make us aware of the change.

Please ensure you have received a confirmation from us reconfirming your transfers, particularly if your departure is soon.

The ability to amend transfers may vary across destinations. We will do our best to make any adjustments, however, if we are unable to confirm please make your own way to the start hotel on Day 1 of your tour.

If flights are booked with Insight Vacations, are my airline seats guaranteed?

Airline seats are not guaranteed.

Some airlines will allow us to pre request seats in advance, where others will offer advance purchase seating once airline tickets are issued. Most airlines will allow guests to allocate seats at time of check in for flight(s). All seating availability and allocation is subject to the airlines terms and conditions.

Traveling with children

At Insight Vacations, our younger guests are just as important as our older ones, so we’ve taken care to craft action-packed itineraries that’ll impress children aged five years or older to travel on our guided vacations. All children and young people under eighteen years old must however be accompanied by an adult who will be responsible for their supervision and welfare.

Some countries have established practices to prevent international abductions of children and because of this, it is recommended that you secure a “Child Travel Consent” prior to departure if you are traveling with a minor who is under eighteen years of age. This documents that a minor has permission from his or her parent(s) or guardian(s) to travel and may be requested by authorities and officials when a child is traveling internationally:

  • With one parent or guardian
  • Without a parent
  • Alone
  • With an adult who is not a parent or guardian

If the traveling parent has sole custody, he or she will require a notarized true copy of a court order or equivalent proving custody. If both parents have custody, or the non-traveling parent has custody, the traveling parent will need notarised consent from the non-traveling parent. We recommend that you contact relevant consulates and airlines for additional information and guidance.

How do I use my past guest discount?

If you’ve previously toured with us or one of our TTC Family of brands (including Luxury Gold, Trafalgar and Costsaver) then you are automatically a member of our Global Tour Rewards program and entitled to a 5% discount on your next trip.

This discount will be applied during the booking process. Simply select your preferred departure and Continue. You will be asked to provide details of your previous trips with Insight Vacations or another TTC brand, including the trip name and month and year of travel. How much are your deposits and when is full payment due?

Your trip deposit amount depends on your trip level. See Trip Deposit Levels to find your tour trip level and deposit amount. Once you’ve found your trip under our Trip Deposit Levels you can see your full payment due date in our Payment Terms.

All payment dates and amounts will appear on your invoice once you’ve booked. Please note, deposit and full payment terms may vary for special offers. Please familiarise yourself with our full Booking Conditions.

Is the trip deposit refundable once I have paid?

Once you have placed a deposit on a vacation, your deposit amount is non-refundable. However, we appreciate that plans can change, and we do offer our deposit protection. Our deposit protection allows you to use your base deposit towards a future vacation within the next 5 years. If you wish to do this, please contact us.

How do I gift my Travel Credits to somebody?

If you would like to give someone your travel credit then please contact us. Our travel experts will need the following details:

  • Original booking number

What is the role of the Travel Director?

Your Travel Director is a true expert about each destination. They’ll provide you with a warm and personal service and will use their local insights to help tailor your tour to your own interests. You are encouraged to talk to your Travel Director straight away if something is not right, so any problems can be rectified there and then, and you can continue to enjoy your journey. Your Travel Director will give you a business card with their contact details, please keep this safe.

Your Driver

Your Travel Director will work in close cooperation with your Coach Driver. Your driver’s responsibilities include loading and unloading luggage, the vehicle’s safety inspection, its cleanliness and most importantly, your safety.

How many people will be on tour with me?

Insight Vacations tour groups are smaller and more friendly.

With only 40 guests on our classic tours instead of the standard 53, you will enjoy a more personalized service. In a smaller group, you’ll be closer to your local guide for a more in-depth experience. You’ll also spend less time waiting to access sights and checking into your hotels.

If you prefer to travel in an even smaller group, the majority of our tours are available as Small Group tours. In a Small Group, you’ll travel with a maximum of just 24 guests.

What are my options as a solo traveler?

Traveling solo with Insight Vacations gives you the freedom that comes with traveling alone, plus the security and camaraderie of a small group.

You have two accommodation options as a solo traveler. Either choose to be matched with a same sex partner for a room share – at no extra cost. Or choose a room of your own with a reduced or even free private room upgrade on select tours.

Will I have free time?

Yes. With Insight Vacations you’ll see all the sights and insights, but will also have time to relax, including at least one day with a relaxed start.

We also give you the opportunity to tailor your trip with Optional Experiences and Insight Choice.

If you would like to exclude yourself from an included experience please ensure you speak with your Travel Director, so they are aware of your plans. They will make sure you are aware of any necessary times or meeting points. Please note we cannot provide any compensation or refunds if you decide to not take part in an included activity or meal.

What is the difference between “Visit”, “View”, and “See” in the itineraries?

Insight Vacations itineraries are carefully crafted to ensure our guests get the most out of each destination. We use particular terms when describing our sightseeing activities; knowing what we mean by these terms will give you a better sense of what to expect on any given day during your tour.

Visit – Your coach will stop and you’ll get to visit a specific site.

View – A brief stop and an opportunity to take photos.

See – Your Insight coach will drive by the site so that you can see it.

Sightseeing tour – A local city guide will accompany you on a tour of a city or site.

Orientation tour – Places of interest are pointed out, allowing you to go and explore them on your own.

‘Why not see’ or ‘perhaps enjoy’ – These phrases refer to optional excursions not included in the tour package, but are available for an additional fee.

Time to explore and discover – Free time on your own.

A day to relax – No planned activities; time for Optional Experiences or other independent activities.

How much walking is involved on an Insight Vacations itinerary?

With so much to see and do at the remarkable destinations on your Insight Vacations tour, there will inevitably be some walking involved. All of our tours are allocated an Activity Level, to give you an indication of how much walking will be involved on the tour, and how challenging the terrain will be.

Leisurely: These tours typically involve 1-2 miles of walking per day on primarily flat surfaces with some stairs.

Balanced: These tours will generally have up to 1-3 miles of walking per day and may involve some uneven surfaces, such as cobblestones and stairs.

Dynamic: These tours are perfect for those looking for a more active pace. They feature 4+ miles of walking on some days and may involve climbing some steep hills.

What do I need to know about tipping and gratuities during my tour?

When travelling with Insight Vacations, certain tips and gratuities are included in your tour package. Baggage handling at hotels, service charges and tips for hotel waiting staff (for included meals) will be taken care of by your Travel Director. There are however a few instances where individual tipping is welcome.

Hotel Services

It is customary to tip hotel staff for room service delivery if the charge has not already been added to the bill.

Local Hosts and Local Specialists

Tours outside of the Americas do not include gratuities for Local Hosts and Local Specialists. It is customary to show appreciation for the insights, stories and know-how shared with you.

Your Travel Director and Driver 

At Insight Vacations, we pay our Travel Directors and Drivers a fair wage. However, at the end of your tour, you may wish to express appreciation for their excellent service.

For your convenience and ease, there is an option to prepay gratuities for the Travel Director and Driver at the time of booking on the majority of our tours. You will be able to use any of the payment methods available at the time of booking. If booking through a Travel Agent, please speak to them at the time of booking to pre-pay gratuities.

Eating and drinking

Tips and gratuities will be taken care of by your Travel Director for all meals included in your itinerary. When you are exploring on your own, it’s helpful to know regional norms around tipping.

In North America, it is customary to tip for a variety of services. A restaurant is usually tipped 15-20% of the total bill before tax. In bars and pubs, the bartender and cocktail server usually earns between $1-$2 per drink depending on the price of the drink. Other services from taxi drivers to hairdressers normally receive 10%. Your Travel Director can also answer any questions you may have regarding when and how much to tip.

In Europe, there is no obligation to leave a tip, but between 5% and 10% is normal in most European restaurants. Make sure to check that a service charge hasn’t already been added on as this is becoming more common. Also bear in mind that tipping is only necessary at a table service restaurant. When eating out at a pub or fast food outlet where you order your food from a counter, tipping isn’t necessary or expected.

What if I arrive late and miss a feature of the tour?

We regret that no refunds can be made for absences from a tour, including experiences such as missed meals or sightseeing.

Is porterage included for the whole tour?

We’re committed to providing a seamless travel experience for our guests. Porterage is provided for one suitcase per guest at every hotel, so you can rest assured your case will be where you need it, when you need it.

What happens on day 1 of my trip? What time should I arrive?

All the information you need to join your trip, such as your first hotel and what time to get there, will become available in your tour documents in the My Insight portal.

Your Travel Director will also be in touch a few days before your trip to introduce themselves and re-confirm your meeting point.

How will I get to and from the airport?

All Insight Vacations guests benefit from complimentary arrival and departure transfers by shuttle coach on the arrival and departure day of their guided holiday. Times are specified on the individual itinerary pages. If your flight times do not coincide with the shuttle coach transfer timings you may choose to book and purchase a transfer.

In addition, guests who arrive before or leave after the scheduled holiday may also book a transfer through Insight Vacations providing they also purchase the additional pre and/or post- holiday hotel night(s).

Insight Vacations provides complimentary airport transfers in the Eastern Mediterranean and Latin America region at any time on the first and last day of the vacation or on other days in conjunction with pre-and / or post-trip accommodation booked through Insight Vacations. Flight times must be provided to Insight Vacations at least twenty-one days before flight departure in the case of Eastern Mediterranean trips and fifty days for Latin America.

You will find specific joining instructions as to where you will locate an Airport Host or Travel Director at the scheduled transfer times in your travel documents.

Note Exception: When traveling to London, transfers are chargeable from London Heathrow and London Gatwick Airport to your Insight hotel.

Airport Transfers for North America

Guests make their own arrangements for arrival transfers, and for departure transfers unless the last day is a travel day ending with an airport drop (see itinerary for airport arrival times). Insight Vacations offers the option to purchase private transfers for selected cities. Guests may check at time of booking if those are offered for the selected itinerary. Otherwise, guests will be provided local transfer options after booking so they can make their own arrangements. Guests arriving before or leaving after the scheduled itinerary day may choose to purchase a private transfer through Insight Vacations provided that they also purchase the additional pre- and post-trip hotel night(s) from Insight Vacations. When booking extra night(s) accommodations, guests will have the opportunity to book the relevant transfer service(s).

What can I expect aboard an Insight Vacations coach?

Our modern, air-conditioned motorcoaches have been carefully selected with your comfort, safety and scenic viewing in mind.

Your Insight Vacations Team will explain all the safety features of your motorcoach at the beginning of your vacation.

Specially Configured Coaches with Fewer Seats

Our luxury coaches have been specially reconfigured with fewer seats, so you’ll relax in style whilst enjoying up to twice as much legroom than on a standard traveling coach.

Seat rotation

Your Travel Director will implement a seat rotation system, whereby all guests will rotate their seats on the coach daily. This allows for everyone to experience the spectacular views from different seats, and you’ll have a better opportunity to get to know your fellow travelers.

WIFI

Complimentary Wi-Fi Service is available on our coaches in the majority of countries we travel to.

Washrooms and rest stops

To ensure you travel in comfort, travel days will include plenty of rest stops. There’s also an on-board wash room on all traveling coaches (except in Morocco).

Coach etiquette

Be mindful of others when using audio technology on board and talking on cell phones. Please also be aware of obstructing the view of those behind you when using tablets to take photos or video footage.

No Smoking Policy

We operate a no smoking policy motorcoach traveling policy. However, we do make plenty of convenience stops giving you the opportunity to smoke.

What makes Insight Vacations coaches different?

We are the only operator to have developed a fleet of hundreds of specially reconfigured 40 seat traveling coaches with business class legroom. This singles us out from others, even those who carry smaller groups, who still operate traditional 49 or 53-seat coaches.

The extra legroom created by our bespoke configuration also translates into extra window space for you to admire your remarkable destinations. For additional comfort, you can also recline safe in the knowledge that you won’t be inconveniencing the person behind you.

Fewer guests also means we can embark and disembark far quicker than larger groups, giving you the maximum amount of time at each stop.

Our Small Group tours utilize the same coaches as our Classic Groups. So if you opt to travel in a Small Group then you will enjoy even more space.

How long will I spend on the coach?

We seldom travel longer than a couple of hours or so without a photo stop or visit. Some journeys are much shorter. Many times you won’t need the coach at all as we often build-in multiple days at leisure.

Insight Vacations also uses many other forms of transportation to give you an exciting and varied vacation. From high-speed trains, cable cars and hydrofoils to open-top taxis, river cruisers and carriages – you’ll enjoy them all, and more.

How can I stay safe when traveling?

Immersing yourself in new destinations is an exhilarating part of your travel experience. Your Travel Director will be on hand to ensure your tour goes smoothly so you can focus on making those lasting memories. However it is important to remain vigilant and to take precautions when traveling to reduce the chances of situations arising that would affect your enjoyment.

Personal Belongings

Many of us carry expensive equipment such as mobile phones and cameras to capture our travel memories and keep in touch with loved ones. Be wary of showing them off in crowded places and never leave them on the table in restaurants, bars, hotel lobbies and public places (breakfast rooms).

Bags

Keep your bag with you at all times. Wear it across your chest and ensure the bag is on the front of the body when you walk through crowded places.

Passport

Make sure your passport is always safe. Keep it on your person on travel days. Many hotels provide safety deposit boxes for your use on longer stays, but be sure to reclaim them before checking out. Make a photocopy of your passport and important documents and keep them separately from the originals and make a note of emergency numbers for any credit/ bank cards that you use.

Cash

Only carry as much cash as you need at any time and avoid displaying large numbers of notes when paying for anything.

Passport and Documents

You are required to carry your passport with you at all times. A money belt worn under your clothing is the safest place to carry your passport, as well as other important documents, a spare credit or debit card, larger cash amounts and any emergency contact lists.

Hotels

When leaving your room, securely shut all windows and close the door to your room as you exit, with enough force to ensure it properly locks. Remember to keep your room key safely on you. On arrival at a new hotel, familiarize yourself with escape routes and locate the nearest fire exit to your room. Always know how to raise the alarm.

Situational Awareness

Avoid confrontational situations and large gatherings and if at any time a situation doesn’t feel right, walk away.

Hostile Situations

In the very unlikely situation you find yourself in the vicinity of a hostile incident, leave immediately and contact the police. If you are unable to leave, find somewhere to hide, lock the door and keep as quiet as possible. Remember to turn your phone to silent and contact the police.

What if I become ill on my tour and am unable to continue?

Your Travel Director will assist you with a doctor’s visit or hospitalization should you require. Insight Vacations has a dedicated Customer Care Department in Europe or our Operations Department in the relevant country will contact you to offer assistance and advice. The cost to return home from your tour due to illness would be at your own expense, so we strongly encourage you to purchase a Travel Protection Plan, and coordinate with your travel insurance company to have your medical expenses reimbursed.

How can I minimize jetlag when traveling abroad?

Traveling abroad is an opportunity to discover new cultures and make lasting memories. When traveling to your destination by air, following some simple advice can help you make the best of your vacation experience from day one.

Before your flight

Try to ensure you are well-rested prior to your flight. Pack your carry-on bag carefully so that you have everything you need aboard the plane.

On board

Remember to stay hydrated during your flight and try to stretch regularly, either in your seat or by walking around the plane. Reset your watch to the local time at your destination so you can begin adjusting your body clock.

Arriving at your destination

When you arrive at your destination, try to stay awake until the early evening. If you are very tired from your journey, opt for an hour-long nap rather than a longer sleep that might leave you struggling to sleep later.

What do I need to know about meals and beverages during my Insight Vacations tour?

At Insight Vacations, we know dining is at the heart of every great journey.

Your itinerary will include a range of evening dining experiences; from farm-to-table meals, to dinner with a family, and Celebration Dinners at hand-picked restaurants. Find out more about the dining options on your tour in the Itinerary section of the tour webpage.

Breakfast and Lunch

Unless otherwise stated in your itinerary, breakfasts will be served at your hotel. A full American breakfast will be served in North America, while in the UK and Ireland a full cooked breakfast will be available. In Scandinavia and mainland Europe, a buffet style breakfast is more common.

To allow for greater flexibility during the day, lunch is not usually included in the tour. However, your Travel Director will have plenty of recommendations.

On traveling days, your Travel Director will arrange for stops for meals or snacks.

Water

At Insight Vacations, we care about our planet, and with that in mind we always recommend that you pack a reusable water bottle for your trip. Bringing your own reusable water bottle or asking for tap water at restaurants means you can make a difference by reducing your holiday plastic waste. In North America, Australia, New Zealand, Scandinavia and Western Europe, all water is safe to drink. In some areas of Eastern Europe and in other parts of the world, your Travel Director may advise that bottled water is a better alternative.

What should I do if I have specific dietary requirements?

We encourage all guests to advise us about any specific dietary needs that they may have (vegetarian, diabetic, gluten free, etc.) and we will strive to accommodate them. We kindly request that you advise us of any dietary requirements when completing registration on My Insight. Please also discuss your needs with the Travel Director at the start of your tour. Where possible, we will endeavor to make arrangements with our suppliers however requests cannot be guaranteed on every occasion.

What do I need to know about my accommodation on tour with Insight Vacations?

At Insight Vacations, we handpick highly rated hotels in fantastic locations to enhance our guests’ experience. Whether it’s traditional or contemporary in style, your hotel is chosen for the quality of service, amenities and accommodation it offers.

Checking in to your arrival hotel

When arriving at your first hotel, check in at the main reception desk where the reception staff will need to know your name and that you are traveling with Insight Vacations.

When your trip begins, check in will be managed by the Travel Director, who will advise you regarding procedures and hotel features prior to arrival. They will secure keys and oversee delivery of your luggage to your room.

Photocopies of documents

Some hotels are required to keep your passport at reception throughout your stay owing to government, country or local laws. You are therefore recommended to bring a photocopy of your passport and any visas with you when you travel. A useful tip is to photocopy your airline tickets, credit cards and your driver’s license etc. as this can speed up replacements on those rare occasions when the originals are lost. Even easier is to scan your documents and send them to yourself as attachments to your email so that you have access to them if needed.

Keys

Many hotels use magnetic key cards. These may be required to use the elevator. In many hotels, key cards also operate the lighting and air-conditioning. The card is usually inserted into a slot or box located just inside the room in order for the electricity to function and it is a great way to save energy!

Checking out of your hotel

Always make a last-minute check of safe deposit boxes, drawers, wardrobe and bathroom before departing each hotel and returning your key. If you have consumed any items from the mini bar or accessed pay-TV etc. you are responsible for ensuring that incidental expenses are paid prior to departure. We recommend settling any bills in the evening to ensure a smooth departure the following morning.

What is a triple room?

A triple room is the same size as a twin bedded room. Triple rooms are not recommended for groups of three adults as the third bed is often a rollaway, which may not be comfortable for an adult.

If you are traveling as a group of three, we strongly advise booking the single occupancy or twin share room option for the third guest.

Can I have my laundry done?

Most hotels do offer a laundry service and in some cities Laundromats are also available. However, it is a good idea to try and pack enough clothing to avoid having to do laundry, as it can sometimes be costly or inconvenient.

Can I use my electrical appliances?

Electrical plugs and outlets differ throughout the world so you’ll need a universal travel adaptor suitable for the countries you are traveling to in order to use any mobile devices. Electrical currents also vary throughout the world and we suggest you carry a converter for any electronics that are not dual voltage in order to prevent them being damaged.

Will my hotel have Wi-Fi?

Complimentary Wi-Fi is available in most hotel guestrooms and/or communal areas. You can see a full list of amenities available in each hotel on the ‘tour highlights’ section on your tour’s trip page.

Please note, on some occasions, the Wi-Fi may need an access code from hotel staff. Your Travel Director will provide you with details when checking in to each hotel.

Will I have access to the internet during my tour?

On Your Motorcoach

Complimentary Wi-Fi is generally available on motorcoaches. Using 3G mobile network means that connection is slower than standard broadband and at times may not be available. It is good for checking emails, web browsing and updating social media accounts, but less so for streaming video or large photo uploads.

At Your Accommodation

Complimentary Wi-Fi is available in many guestrooms and/or public areas of most hotels. On some occasions, it may require an access code from hotel staff. Your Travel Director will provide you with details when checking in to each hotel.

How else can I keep in contact with friends or family?

Keeping in touch with loved ones and sharing your latest discoveries enhances your tour experience.

If you choose to bring a smart phone with you, ensure you contact your service provider to find out how much it will cost to use your phone internationally. You might consider disabling data roaming or purchasing a prepaid service or SIM to keep control of costs. Be mindful of other guests if you take a cell phone call on the motorcoach.

Making telephone calls from your hotel room can be very expensive. A pre-paid calling card is an easy way to save money when making telephone calls. Calling cards are readily available for purchase in most stores – please ask your Travel Director for further information.

Am I entitled to any perks or discounts as an Insight Vacations past guest?

Absolutely! Once you have traveled with Insight Vacations you become a member of Global Tour Rewards. This entitles you to 5%* off your next tour, and a number of other benefits.​

Global Tour Rewards discounts are combinable with other Insight Vacations discounts, giving you even more opportunity to save.​

How do I use my discount across different brands?

During the booking process online you will be asked if you are a Past Guest. Complete all requested information to receive your discount. For more help, contact us or speak to your local Travel Advisor.

How will I find out about new trips and offers?

As a member, you’ll receive emails and/or letters with exclusive information about our upcoming tours and offers.

What events will I be invited to?

Each brand may run events at various times throughout the year. As they are scheduled, you will be notified by email or letter.

How do I sign up to Global Tour Rewards?

You don’t have to do a thing. As soon as you get back from your first tour with any TTC Tour Brand, you’ll automatically be enrolled onto our program and will receive an email confirming all the details.​

I already went on a tour with you a number of years ago. Will I be a member?

It doesn’t matter how long ago you toured with us, if you’ve taken any TTC tour in the past you’ll be enrolled as a member of the new program.
